PRIVACY POLICY

Who we are:

The Worcester – Birmingham Canals Society was formed in 1969 to promote the restoration, conservation and improvement of the canal and adjacent waterways for the use and benefit of the public. In 2010 we changed our name to the Worcester-Birmingham and Droitwich Canals Society following the opening of the Droitwich Canals.

Our members receive a bi-monthly magazine and we arrange a monthly meeting and guided walks in the summer.  Our volunteers work in conjunction with the Canal and River Trust on projects to improve the canals and their heritage assets.  We own a narrow boat which is used to offer outings and educational trips to groups of people and other charities that might not normally have the opportunity of experiencing the inland waterways.

 What personal data we collect, how we store and use it and how long we keep it:

  • Members – to join, members complete a membership application form and return it to the membership secretary with payment. The membership secretary records the details given on a password protected excel spreadsheet.  The data is used to distribute the Society’s magazine and other information relevant to the Society’s interest.  We also use the data provided to claim Gift Aid if the member has agreed.  Members are contacted annually to invite renewal, and the data concerning members who do not renew is deleted after approximately twelve months.
  • Volunteers – we keep records of members and others who contact us to offer to help with our projects in electronic format on a password protected computer The data is used by the Volunteer Co-ordinator to distribute a newsletter and details of planned work parties.  We review the data annually and contact those who have not been active during the year to ask if they wish to remain on the list.
  • Boat trip customers – potential users are invited to contact the bookings co-ordinator via the publicity leaflet or the website. Approaches may be made to suitable groups to publicise the service. Details of user organisations with contact names and phone numbers are shared with the boat crew on a calendar of bookings which is reviewed annually.

 How we will not use the information you give us:

The personal data you give us is only used to further the objects of the Society and keep you informed about our activities.  It is not shared with any third party.

You may request that we provide you with a copy of any information we hold regarding your personal data and how we use and process this by contacting us.
